Guide to Setting Up Business Central Integration with Declaree

Step 1: Create Microsoft Entra ID / App ID for Business Central

  1. Go to Microsoft Azure and create your own Microsoft Entra ID / App ID.

  2. After creation, you will receive:

    • Directory (Tenant) ID

    • Application (Client) ID

  3. Navigate to Manage -> Certificates & Secrets.

  4. Click New Client Secret and create a client secret.

  5. Save the secret value in a secure location.

Step 2: Configure Microsoft Entra Application in Business Central

  1. Open Business Central.

  2. Click the Search button in the top-right menu.

  3. Search for Microsoft Entra Application.

  4. Click New.

  5. Enter the Client ID obtained from Azure.

  6. Add a Description (e.g., "Declaree").

  7. Under User Permissions, set the role to SUPER (DATA) for:

    • All companies, or

    • The specific company that will receive the data.

    • (There may be lesser permissions that work, but the minimum required is unclear.)

Step 3: Connect Declaree to Business Central

  1. Open Declaree.

  2. Navigate to Configuration -> Connections -> Microsoft Dynamics 365 Business Central -> Connect.

    • (If this option is unavailable, a superadmin must add the module to the organization.)

  3. Follow the instructions and enter:

    • Tenant ID

    • Client ID

    • Client Secret (saved earlier)

  4. Select the Business Central company to export data to.

  5. Choose the journal for data export.

Step 4: Map Declaree Data to Business Central

  1. Map Declaree categories to Business Central accounts:

    • Category Code -> Account Number (Finance -> Chart of Accounts)

    • User Code OR Payment Method Code -> Contra Account Number (Finance -> Chart of Accounts)

  2. Map Projects/Tags to Dimensions:

    • Project Code -> Dimension Code

    • Project Code 2 -> Dimension Value Code (Finance -> Dimensions -> Dimension Values)

  3. Map Taxes/VATs:

    • Tax/VAT Code -> VAT Identifier

    • Search "VAT Posting Setup" in the upper-right menu.

Step 5: Export Data and Verify in Business Central

  1. Ensure that all mappings are correctly set.

  2. Perform an export from Declaree to Business Central.

  3. Check Business Central:

    • Navigate to Finance -> General Journals.

    • Click the journal selected during Declaree setup.

    • Each expense should appear as a journal line.

  4. Finalize the posting:

    • Click Post or Preview Posting using the arrow next to "Post".

    • Once posted, the journal lines convert into Posted General Journals.
